Purpose of This Policy
This Responsible Data Use Policy sets clear standards for using professional business information supplied by Valor Marketing.
It applies to B2B contact databases, email lists, research, verification, enrichment and lead-generation deliverables.
Who Must Follow This Policy
This policy applies to every customer and authorized person who receives, stores, imports, shares, analyzes or uses a Valor Marketing deliverable.
Customers are responsible for employees, contractors, agencies, affiliates and service providers acting on their behalf.
Where a signed agreement contains stricter requirements, the stricter requirement applies.
Information Covered
Depending on the approved project, a deliverable may include:
- Professional name and business role
- Job title, department and seniority
- Company or organization name
- Business email address
- Business telephone number
- Company website and domain
- Business location
- Industry and company-size information
- SIC, NAICS or other business classifications
- Professional or company profile URLs
- Relevant event or professional affiliations
Field availability and accuracy vary by source, geography, industry and date.
Core Responsible-Use Principles
Permitted Business Uses
Subject to the written license and applicable law, professional information may be used for:
- Relevant B2B sales prospecting
- Account development and business outreach
- Invitations to relevant events and webinars
- Market research and professional surveys
- Supplier, distributor or partner identification
- Lawful business recruitment
- CRM organization and enrichment
- Internal business intelligence and planning
Uses outside the approved scope require written permission from Valor Marketing.
Relevant Targeting and Data Minimization
Customers should define a clear business purpose before using a database.
Before a campaign, review:
- Target industry and organization type
- Recipient job function and seniority
- Required geography
- Fields actually needed
- Existing customers and previous opt-outs
- Campaign frequency
- Whether a less intrusive approach is available
Mass, unrelated or indiscriminate outreach is not consistent with this policy.
Email Marketing Standards
Customers using a deliverable for commercial email should:
- Use accurate sender and routing information
- Use subject lines that honestly describe the message
- Clearly identify the sending business
- Include a valid business address where required
- Provide a visible and functioning unsubscribe method
- Honor valid opt-out requests promptly
- Apply suppression lists before future campaigns
- Use reasonable sending frequency
- Follow the rules of the email platform being used
Customers must not hide, remove or interfere with an unsubscribe method.
Telephone Calls, Texts and Automated Outreach
Calls, text messages, prerecorded messages and automated outreach may be subject to consent, identification, timing and do-not-call requirements.
Customers must independently confirm that they have any consent or authority required before initiating these communications.
Opt-Outs, Objections and Suppression
Customers must provide a practical way for recipients to stop direct marketing.
A secure suppression list should contain only the minimum information necessary to prevent future contact.
Suppression records should be checked before each campaign and provided to authorized service providers sending messages on the customer’s behalf.
A suppression record may need to be retained when deleting it would result in the person being contacted again.
Security, Access and Retention
Customers should use safeguards appropriate to the volume and risk of the information.
- Limit access to people with a genuine business need
- Use strong passwords and account controls
- Use secure file transfer and storage
- Use encryption where appropriate
- Protect against malware and accidental publication
- Require confidentiality from staff and contractors
- Maintain an incident-response process
- Delete or anonymize information when no longer required
Data files must not be placed in public folders, public directories or openly accessible cloud links.
Prohibited Uses
A Valor Marketing deliverable must not be used to:
- Commit fraud, deception, impersonation or identity theft
- Harass, threaten or unlawfully discriminate
- Conduct unlawful surveillance or stalking
- Send abusive, deceptive or indiscriminate spam
- Create phishing, malware or credential-theft campaigns
- Target children or exploit vulnerable people
- Bypass opt-outs or privacy requests
- Publish a private or public searchable directory
- Resell data without written permission
- Create a competing data-broker or list-resale service
- Violate privacy, intellectual-property or other legal rights
Sensitive Information and Significant Decisions
Valor Marketing’s standard services focus on professional and company information, not sensitive consumer information.
Customers must not use a deliverable to infer or target people based on sensitive traits such as health status, race, ethnicity, religion, sexual orientation, political affiliation, union membership, government identifiers or financial credentials unless a lawful and expressly approved basis exists.
A deliverable must not be used as the sole or primary basis for decisions involving credit, housing, insurance, employment eligibility, education admission, healthcare access or similar significant matters.
Resale, Sharing and Service Providers
Customers may not resell, sublicense, publish or redistribute a Valor Marketing deliverable as a standalone data product unless written permission has been provided.
An authorized contractor may receive limited access only when the information is required for the approved purpose and the contractor is bound by confidentiality, security, deletion, suppression and non-reuse requirements.
The customer remains responsible for the actions of its authorized users and service providers.
International and Channel-Specific Compliance
Privacy and marketing rules vary by country, state, recipient type and communication channel.
Rules applying to a corporate email address may differ from those applying to a sole trader, personal mobile number or consumer account.
Customers conducting international campaigns should identify the recipient’s location and status, determine the applicable rules and apply suitable controls.

Privacy Requests and Reporting Misuse
Customers should maintain procedures for receiving and responding to access, correction, deletion, objection, opt-out and suppression requests where applicable.
